SUB – COMMITTEE COORDINATOR

JOB SUMMARY:

The Sub-Committee Coordinator manages the operations and administration of a sub-committee, ensuring efficient planning, execution, and follow-up of its activities. The role supports the Chairperson and committee members in achieving objectives, maintaining records, and facilitating communication.

DUTIES AND RESPONSIBILITIES:

  • Schedule and coordinate sub-committee meetings, prepare agendas, and distribute minutes.
  • Support the Chairperson and members in planning and implementing initiatives.
  • Maintain accurate records of committee activities, decisions, and follow-up actions.
  • Ensure effective communication among committee members and with the parent organization.
  • Monitor progress of assigned projects or tasks and report on status to the main committee.
  • Assist with research, document preparation, and presentation materials.
  • Facilitate adherence to organizational policies, procedures, and timelines.

 

MINIMUM QUALIFICATION AND EXPERIENCE:

  • BA in Public Administration, Management, or a related field.
  • Diploma or certification in Project Management, Committee Administration, or Office Administration is an asset.
  • Minimum 3–5 years of experience in administration, project coordination, or committee support.
  • Experience in organizing meetings, preparing agendas, and documenting minutes.

REQUIRED SKILLS AND KNOWLEDGE:

  • Ability to schedule meetings, manage multiple tasks, and maintain accurate records.
  • Strong written and verbal communication for agendas, minutes, reports, and correspondence.
  • Ability to monitor tasks, support initiatives, and ensure timely follow-up.
  • Works effectively with committee members, stakeholders, and management.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
  • Understanding of committee structures, roles, decision-making processes, and meeting procedures.
  • Knowledge of documentation, reporting, record-keeping standards, and organizational policies.Any combination of experience and academic qualifications from which comparable knowledge, skills and abilities have been achieved
